Booking & cancellation

Simple, clear arrangements for your journey

We want booking your Nepal adventure to feel straightforward from the start. Once your trip is confirmed, we’ll clearly explain the payment schedule, cancellation terms and any important conditions, so you know exactly where you stand before travelling.

Clear terms for planning your journey
We want booking your trip to Nepal to be straightforward from the beginning. Our booking, payment and cancellation terms are designed to give you a clear understanding of what happens before and after your trip is confirmed.

Your booking - When your trip becomes confirmed
Your booking is confirmed once we have received the required payment and sent you a booking confirmation. The confirmation will include your trip details, payment schedule and any important arrangements specific to your journey.

Payment- Secure your place with a deposit

The deposit required depends on how far in advance you book. Any remaining balance must be paid before your departure, unless we have agreed to a different arrangement with you in writing.

Cancellation- If your plans need to change
We understand that plans can change. Cancellation requests must be made in writing, and any refund will depend on how much notice we receive before your departure. Costs already paid to airlines, government authorities, permit providers or other suppliers may be non-refundable.

Changing your trip - Need to adjust your plans?
If you need to change your travel dates, itinerary or the people travelling with you, let us know as early as possible. We will do our best to accommodate your request, subject to availability and any costs charged by our suppliers.

If we need to cancel - Your safety comes first
On rare occasions, a trip may need to be changed or cancelled because of circumstances beyond our control, such as severe weather, natural disasters, political unrest, flight disruptions or government restrictions. Where this happens, we will discuss the available options with you and help arrange the best practical solution.

Flights and unexpected delays - Mountain travel can be unpredictable
Weather and conditions in the Himalayas can affect domestic flights and itineraries. If delays or other unexpected events affect your journey, we will help you make alternative arrangements wherever possible. Any additional costs will be explained before arrangements are made.

Travel insurance- Please travel with proper cover
Travel insurance is essential for every trip. We strongly recommend cover for medical treatment, emergency evacuation, trip cancellation, delays and loss of personal belongings. For trekking and mountain journeys, your policy should specifically cover high-altitude activities and helicopter evacuation where required.

Health and special requirements - Tell us what we need to know
Please let us know about any medical conditions, mobility requirements, dietary needs or other circumstances that may affect your trip when you book. This allows us to plan appropriately and advise you if any part of your itinerary may not be suitable.

Passports and visas- Make sure your documents are ready
You are responsible for having a valid passport, the correct visa and any other travel documents required for your journey. We can provide guidance on visa arrangements, but immigration requirements remain the traveller's responsibility.

Unused services- What happens if part of your trip is missed?
Once your trip has started, unused services generally cannot be refunded. This may include accommodation, transport, activities, permits or other arrangements that you choose not to use or are unable to use.

Our terms - Keeping everything transparent
We may occasionally update our booking and cancellation terms to reflect changes in regulations, suppliers or the way we operate. The terms that apply to your booking will be provided when your trip is confirmed.
